1. Regulatory Compliance Framework
Vanguard Apex Tax Group, LLC and NPOTax.com handle sensitive tax preparation and financial documents. Our privacy practices are designed to comply with IRC § 7216, Treasury Regulation § 301.7216, the FTC Safeguards Rule (16 CFR Part 314), and Treasury Circular No. 230.
2. Information We Collect
We collect information you submit through inquiries, document uploads, or services, including names, addresses, email, phone numbers, SSN, ITIN, EIN, tax notices, returns, transcripts, financial statements, and payment details processed by third-party providers. We do not store raw card numbers on local servers. We may also collect IP addresses, browser types, device identifiers, and upload timestamps.
3. IRC § 7216 Disclosure & Use Limitation
We will not disclose or use tax return information except to prepare, assist in preparing, or provide quotes and services related to your filing or tax matter, unless you provide express written consent or disclosure is permitted by law or court order. We do not sell, rent, monetize, or trade personal data to marketers, advertisers, or data brokers.
4. How We Use Collected Information
We use information to evaluate notices, deliver quotes and assessment scopes, prepare tax schedules, engagement letters, invoices, and authorizations, communicate file status and document requests, and satisfy federal, state, and professional record-retention requirements.
5. Data Security Safeguards
We implement administrative, technical, and physical safeguards under our Written Information Security Program and the FTC Safeguards Rule. Data in transit is protected using TLS 1.3 / 256-bit SSL, documents at rest use AES-256 encryption, access is restricted to authorized personnel, and multi-factor authentication is required across internal platforms.
6. Third-Party Service Providers
We use confidential service providers, including secure intake and workflow platforms, Cloudflare infrastructure, and Google Workspace enterprise email services under data-isolation settings.
7. Data Retention & Destruction
We generally retain client records, work papers, and tax deliverables for at least 7 years. After the retention period, physical records are shredded and digital files are securely sanitized.
8. SMS and Mobile Privacy
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent are not shared with third parties.

You may call (727) 855-8883. If you consent to receive a secure upload link by text, consent is logged.
